Overview
Under Archive, you configure the external archiving of files on your Virtual-Call Cloud PBX. The archive feature allows you to automatically transfer recordings, CDR data, and other files to an external server, freeing up local storage space.
Note: The archive feature is only available with the Ultimate Plan.
Prerequisites
- Administrator access to the Virtual-Call Cloud PBX
- Virtual-Call Ultimate Plan
- A configured external archive server (e.g., FTP, SFTP, Amazon S3, or similar)
Page Overview
Navigate to System → Archive.
The page contains two tabs:
- Archive Task: Manages archive tasks (which files are archived and where).
- Archival Logs: Displays logs of past archiving operations.
In the Archive Task tab, the buttons Add, Archive Server, and Delete are available.
Columns in the overview (Archive Task)

Configuring an Archive Server
Before you can create an archive task, you need to set up an archive server. Click Archive Server.
In the Archive Server dialog, you see an overview of all configured servers with the columns Name, Server Type, and Operations. Click Add to create a new archive server.
Adding an Archive Task
In the Archive Task tab, click Add to create a new task.

Columns in the overview

Use the filters and the search function to find specific archival logs. Use Delete to remove selected logs.
Setting Up External Archiving
- Navigate to System → Archive.
- Click Archive Server, then click Add to configure a new server.
- Enter the connection details for the external server and save.
- In the Archive Task tab, click Add.
- Fill in the Task Configuration (Name, File Type, Data Range, Sync Frequency).
- In Storage Configuration, select the archive server and storage method.
- Click Save.
- Verify success in the Archival Logs tab.
Best Practices
- Set up external archiving before reducing retention periods under System → Storage to prevent data loss.
- Use SFTP or Amazon S3 for secure and reliable transfers.
- Enable Organize Files by Date to keep the archive files well-structured on the external server.
- Schedule synchronization with a regular frequency (e.g., daily) to ensure all data is archived promptly.
- Regularly check the archival logs to detect and resolve any failed archiving operations early.
