Extension Group
Under Extension and Trunk > Extension Group, you manage extension groups. An extension group combines multiple extensions and defines which actions group members are allowed to perform on each other — e.g., picking up calls, monitoring, or changing presence status. Each member can be defined as a manager or user, with different permissions applying to each type.
Access Extension Groups
- Log in to the Cloud PBX administration portal.
- Navigate to Extension and Trunk > Extension Group.
Group List
The overview page displays all existing extension groups:
| Column | Description |
|---|---|
| Name | The name of the extension group. |
| Total Extensions | The number of extensions assigned to this group. |
| Operations |
Use the Add and Delete buttons to create new groups or remove selected groups.
Create or Edit a Group
When creating or editing an extension group, two tabs are available: Basic and Group Permissions.
Basic Tab
The Basic tab allows you to set the group name and manage members:
| Field | Description |
|---|---|
| Name * | The name of the extension group. |
| Select Members * | Dropdown to pre-filter available extensions (e.g., All Extensions). Use the dual list to move extensions from Available to Selected. |
The selected list shows the current group members with the following columns:
| Column | Description |
|---|---|
| Extension Number | The extension number of the member. |
| Caller ID Name | The display name of the member. |
| User Type | The role within the group: manager or user. Click the edit icon to change the type. |
Group Permissions Tab
The Group Permissions tab allows you to configure permissions for managers and users separately. Each permission block contains two main categories:
Manager Permissions
Allow Using Operator Panel—Controls which actions the manager can perform on group members via the Operator Panel:
- Switch group members' presence
- Call distribution management (redirect, transfer, and drag-and-drop operation)
- Pick up or hang up other extensions' calls
- Call monitoring operations (listen, whisper, barge in)
- Call parking operations (Park, Retrieve)
- Route calls directly from IVR regardless of the IVR menu
- Control Call Flow
- Manage AI Receptionist Calls
- Switch Business Hours and Holidays status
- Switch extension's recording status
- Show Company Contacts Matching Results
Allow call operations on the extension page—Controls which call actions the manager can perform directly on the extension page (without the Operator Panel):
- Call distribution management (Redirect, Transfer)
- Pick up or hang up other extensions' calls
- Call monitoring operations (listen, whisper, barge in)
- Call parking operations (Park, Resume)
- Control Call Flow
- Manage AI Receptionist Calls
- Show Company Contacts Matching Results
User Permissions
Users have the same permission categories as managers (operator panel and extension page), but all options are disabled by default. Enable only the permissions that regular group members need.
Important Notes
- Default group: The PBX includes a predefined group, Default_All_Extensions, that contains all extensions. This group can be edited, renamed, or deleted.
- Manager vs. User: Managers typically receive extended permissions (e.g., call monitoring, status changes), while users have restricted access. The user type can be changed at any time via the edit icon in the member list.
- Operator Panel: The permissions under “Operator Panel” only apply when the member uses the Operator Panel in the UC Client. The permissions under “Extension Page” apply to direct actions without the Operator Panel.
- Company Contacts: The “Show Company Contacts Matching Results” option overrides the individual visibility rules of the user for company contacts.
