The User tab contains the basic personal and technical settings for an extension. Here you configure the user's identity, extension number, registration credentials, language preferences, outbound caller ID, and operator panel permissions.
Access the User Tab
- Log in to the Cloud PBX administration portal.
- Navigate to Extension and Trunk > Extension.
- Click the edit icon next to the desired extension.
- Select the User tab.
User Information
Configure the personal details of the extension user:

| Last Name | Last name of the user. |
| Email Address | Email address for notifications (e.g., voicemail-to-email, missed call alerts, password resets). |
| Mobile Number | Mobile phone number of the user. Used for features such as Follow Me or mobile integration. |
| User Password * | Password for logging in to the UC Client (web, desktop, or mobile). Must meet the password policy requirements. |
| User Role | Role assigned to the user, which determines their access permissions. Options include Administrator, Manager, User, or custom roles defined under Extension and Trunk > Role. |
| Job Title | Optional job title for the user (e.g., “Sales Manager”). Displayed in the UC Client contacts. |
Extension Information
Configure the technical settings for the extension:

| Extension Number * | The internal number used to reach this extension (e.g., 1001). Must be unique within the PBX. |
| Caller ID * | The internal caller ID displayed when this extension makes internal calls. Typically the same as the extension number. |
| Registration Name * | SIP registration name used by IP phones or softphones to register with the PBX. Auto-generated by the system. |
| Registration Password * | SIP registration password. Use the icons to show, copy, or regenerate the password. |
| IP Phone Concurrent Registrations | Maximum number of IP phone devices that can register simultaneously with this extension (1–5). |
| Linkus Web Client Concurrent Registrations | Maximum number of UC Client Web sessions allowed simultaneously (1–5). |
| Linkus Desktop Client Concurrent Registrations | Maximum number of UC Client Desktop sessions allowed simultaneously (1–5). |
| Linkus Mobile Client Concurrent Registrations | Maximum number of UC Client Mobile sessions allowed simultaneously (1–5). |
Note: The field labels “Linkus Web/Desktop/Mobile Client” in the PBX interface refer to the Virtual-Call UC Client applications.
Language
Set the language preferences for this extension:

| Email Notification Language * | Language for system-generated emails (e.g., voicemail notifications, missed call alerts). Default: System Setting. |
| System Prompt Language * | Language for audio prompts the caller hears (e.g., IVR menus, voicemail greetings). Default: System Setting. |
| Voicemail Language * | Language for voicemail system prompts. Default: System Setting. |
Tip: If set to “System Setting”, the language configured under System > Date and Time is used. Override individual extensions only when users prefer a different language.
Outbound Caller ID (DOD)
Configure which external phone number is displayed when this extension makes outbound calls:

| Emergency Outbound Caller ID | The caller ID sent when the user dials an emergency number. This should be a number that emergency services can call back. |
| Allow Selecting Outbound Caller ID | If enabled, the user can choose which outbound caller ID to display before making an external call via the UC Client. |
The Outbound Caller IDs table lists all DOD numbers assigned to this extension:

| Outbound Caller ID | The external phone number is displayed to the called party. |
| Outbound Caller ID Name | Display name associated with the caller ID (CNAM). |
| Trunk | The trunk through which the call is routed. |
| Label | Optional description for internal reference. |
| Move | Reorder the priority of outbound caller IDs. |
Note: DOD numbers are assigned by the administrator under Call Control > Outbound Route. The entries shown here are read-only unless the administrator has configured additional DOD options for this extension.
Permission Configuration
The Permission Configuration section defines what actions this extension user is allowed to perform within specific extension groups via the Operator Panel:
Each permission rule specifies an extension group, a user type, and the allowed operator panel actions. Click Add to create a new permission rule:

| User Type * | The role within the group: user (standard permissions) or manager (extended permissions). |
When Allow Using Operator Panel is enabled, the following permissions can be granted:
- Switch group members' presence—Change the presence status of other group members.
- Call distribution management—Redirect, transfer, drag, and drop calls.
- Pick up or hang up other extensions' calls—Answer or end calls on behalf of other users.
- Call monitoring operations—Listen, whisper, or barge into active calls.
- Call parking operations—Park and retrieve calls.
- Route calls directly from IVR—bypass IVR menu navigation.
- Control Call Flow—Manage call flow routing.
- Manage AI Receptionist Calls—Handle calls routed through the AI receptionist.
Important Notes
- Password security: The user password grants access to the UC Client and should meet your organization's password policy. Communicate new passwords securely to users.
- Extension number changes: Changing the extension number will require re-registering all associated devices and may affect call routing rules, speed dials, and BLF keys that reference this extension.
- Concurrent registrations: Increasing the number of concurrent registrations allows a user to be logged in on multiple devices simultaneously. However, each additional registration consumes system resources.
- Operator Panel permissions: Grant Operator Panel access only to users who need it (e.g., receptionists, team leads). Overly broad permissions may allow unintended call monitoring or manipulation.
