The Features tab contains advanced settings for an extension, including email notifications, music on hold, call recording, caller-ID-based rules, business hours, automatic presence switching, call monitoring, boss-secretary function, door phone, and hot desking.
Access the Features Tab
- Log in to the Cloud PBX administration portal.
- Navigate to Extension and Trunk > Extension.
- Click the edit icon next to the desired extension.
- Select the Features tab.
Notifications
Configure which email notifications the user should receive:

| Send an email notification when User Password is changed | When enabled, the user receives an email notification whenever their user password is changed. |
| Send email notifications for missed calls | When enabled, the user is notified by email about missed calls. |
Prompt
Set the music on hold for this extension:

| Music on Hold | Music played to the caller when placed on hold. [Follow System] uses the system-wide setting. |
| Music on Hold for Call Forwarding | Music played during a call transfer. [Follow System] uses the system-wide setting. |
Call Recording
Define the recording permissions the user has during a call. Recording can be initiated by pressing the record button on the phone or by dialing feature code *1 during a call.

| No Permission | The user cannot manually record calls. |
| Pause/Resume | The user can pause and resume an ongoing recording but cannot start a new recording. |
| Start/Pause/Resume | The user can start, pause, and resume recordings. |
Caller ID Based Call Handling
Create rules that automatically forward or block incoming calls based on the caller ID:
Click Add to create a new rule. Each rule contains:

| Action | The action to perform when a call from this caller ID is received (e.g., forward to a specific destination or block). |
| Move | Change the order of rules (rules are processed from top to bottom). |
| Operations | Edit or delete the rule. |
Call
Additional call options for this extension:

| "Busy on Busy" for all devices | When enabled, the extension reports as busy as soon as any registered device is on a call — even if other devices are still available. |
| All Reject Mode for Endpoints | When enabled, a call is considered rejected as soon as it is rejected on any endpoint device. |
Business Hours
Configure the business hours for this extension. This setting is used exclusively for the "Time-Based Automatic Presence Switching" feature.

| Time Zone * | The time zone used for this extension's business hours. By default, the system time zone is used. |
| Use business hours configured for this time zone | Uses the business hours configured under Call Control > Business Hours and Holidays for the selected time zone. |
| Use custom business hours | Allows defining individual business hours specifically for this extension. |
Time-Based Automatic Presence Switching
This feature automatically changes the extension's presence status based on the configured business hours:

| Business Hours | Presence status automatically set during business hours. Disabled = no automatic switching. |
| Break Time | Presence status automatically set during break times. |
| Holidays | Presence status automatically set on holidays. |
| Outside Business Hours | Presence status automatically set outside of business hours. |
Tip: Use this feature to automatically set the status to "Available" during business hours and "Off Work" outside of business hours. The respective call forwarding rules of each presence status will then apply automatically.
Call Monitor

| Allow being monitored | When enabled, authorized users (e.g., team leads) can monitor calls on this extension (listen, whisper, barge in). Disable this option if the extension should not be monitored. |
Boss Extension
The boss-secretary function forwards calls for the boss extension to one or more secretary extensions:

| Boss Extension (toggle) | Enables or disables the boss-secretary function for this extension. |
| Enable Boss-Secretary Function | When enabled, calls are forwarded to the secretary according to the settings below. |
| Number of Secretaries * | Number of secretary extensions: One Secretary Only or Multiple Secretaries. |
| Secretary Extension * | The extension that serves as secretary and answers calls. |
| Call Type * | Which call types are forwarded to the secretary: All, Internal Calls Only, or External Calls Only. |
Door Phone Application
Configure video preview for SIP door phones:

| Video Preview | Enables or disables video preview for incoming calls from the door phone. |
| Automatic Preview | When enabled, the video feed is displayed automatically without the user having to answer the call. |
Hot Desking
Hot Desking allows users to log in with their own extension at different physical phones:

| Hot Desking (toggle) | Enables or disables the hot desking function for this extension. |
| Log out from queue | When enabled, the user is automatically logged out from all queues when signing out from the hot desking phone. |
| Automatic Guest-Out | Determines when the user is automatically signed out from the hot desking phone: Never, After a specified duration (e.g., 8 hours), or Daily at a scheduled time. |
Important Notes
- Call recording: Be aware of applicable data protection regulations (e.g., GDPR) when enabling the recording function. In many jurisdictions, all call participants must be informed about the recording.
- Business hours and presence switching: Automatic presence status switching is based on the business hours configured here. Ensure the time zone is set correctly.
- Boss-secretary function: When enabled, calls are forwarded to the secretary. Ensure the secretary extension is correctly configured and reachable.
- Hot Desking: This feature is particularly useful in offices with flexible workstations. Set the automatic guest-out to ensure users do not accidentally remain logged in at someone else's phone.
- Call Monitor: The monitoring function should only be enabled for extensions where call monitoring is operationally required (e.g., for training purposes in the contact center).
